This policy explains what personal data the Tamil Nadu Arya Vysya Maha Sabha Youth Wing (TNAVMSYW) collects through tnvysya.com, its sub-sites and the Vysya Pelli app, why we collect it, who it is shared with, and the rights you have over it.

It is written to meet the Digital Personal Data Protection Act, 2023 (DPDP Act) and the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011. Please read it before registering or submitting any form.

1. Who we are

For the purposes of the DPDP Act, TNAVMSYW is the Data Fiduciary — we decide why and how your personal data is processed.

2. What we collect

We only collect what a given feature actually needs. Nothing is collected silently in the background.

  • eCensus registration and your profile — your title, name and family name or initial, gender, date of birth, father's name, marital status, kula and gothram, blood group and whether you are willing to donate blood, education (qualification, course and institution), occupation and designation, mobile number and an optional alternate mobile number, email address, address (door number, street and area), town, district and pincode, an optional username, and your photograph (a camera selfie or an uploaded photo; any face check runs on your own device). Your eCensus ID card is made from these details.
  • Family — if you link your household, the family members you add, their relation to the head of the family, and an optional family photograph.
  • Login details — your password, stored only as a one-way argon2 hash that nobody (including us) can read back; records of sign-ins, active sessions and the devices used, kept for security.
  • Consent records — which version of these policies you accepted, when, and from which channel.
  • Jadhagam (Vysya Pelli) — a matrimonial profile including birth date, time and place, photographs, horoscope chart and astrological details (rasi, nakshatram, lagnam, dosham, gothram), physical details, education, occupation, income band, family details and partner preferences. This is the most sensitive data we hold and is governed by the Jadhagam (Vysya Pelli) Terms as well as this policy.
  • Remarriage details (Jadhagam only) — collected only if you are divorced, widowed, your marriage was annulled or you are awaiting divorce, and only when you post a jadhagam: the year your previous marriage ended and how it ended (by mutual consent or contested), your children (how many, and who they live with), which marriage this will be, and an optional short "about my situation" note in your own words. We use these details only for matchmaking. We never ask for the reason for a divorce, the cause of a spouse's death, any details of your former spouse, or your children's names, photographs or dates of birth.
  • Marital status documents (Jadhagam only) — the divorce or annulment decree, or the death certificate, that you upload. It is used only to confirm that you are legally free to marry (see sections 5 and 7).
  • Awaiting-divorce declaration (Jadhagam only) — if you post a jadhagam while awaiting divorce, your declaration and the date you made it.
  • Events and activities — event registrations and attendance, and reports submitted by office bearers.
  • Photographs and media — images uploaded to the gallery or attached to news, which may include photographs of members taken at wing events.
  • Technical data — standard server logs (IP address, browser type and timestamps), retained for security and abuse prevention, and, if you allow notifications in an app, that device's push notification token.

We do not collect Aadhaar numbers or copies of Aadhaar, PAN or any other government ID, and we do not ask for bank or card details.

We do not run any advertising or behavioural tracking scripts. There are no advertising pixels and no third-party tracking of any kind.

3. Why we collect it

  • To maintain the community's own member register (eCensus) and give each member one verified identity across every TNAVMSYW service.
  • To let office bearers review and approve registrations for their district.
  • To operate the Jadhagam (Vysya Pelli) matrimony service — strictly with your separate consent.
  • To connect willing blood donors with people in need, only if you switch on "blood donor".
  • To register you for events, publish news and gallery content, and respond to your enquiries.
  • To plan community welfare work using aggregate, anonymous figures (for example, members per district).
  • To keep the platform secure and prevent misuse.

4. Our legal basis

We process your personal data on the basis of your consent, given when you register and accept the current versions of our Terms of Use and this Privacy Policy. Each acceptance is recorded with its version and time, and we will show you that record on request. Where a feature carries its own consent — such as posting a jadhagam — that consent is specific to that purpose and nothing more.

You may withdraw consent at any time. Withdrawal works going forward: it stops further processing and leads to deletion, but it cannot recall details already shared before you withdrew.

5. Who can see your data

We do not sell your personal data. We never have and we will not. It is shared only:

  • With office bearers who need it for their role, and only within their scope — for example, a district president reviewing registrations sees members of their own district only. Every access and change by an office bearer is recorded in an audit log. If the eCensus team corrects your marital status, the change is recorded with the staff member's name and the reason, and you are notified.
  • With other approved members, for Jadhagam only, and only the profile details you chose to publish. Contact details are released only after you accept an interest. Remarriage details are shown as you choose; the year your previous marriage ended is hidden unless you choose to show it. A profile posted while awaiting divorce is always labelled "Awaiting divorce".
  • With the Jadhagam team, to review jadhagams. A marital status document is viewed only by the Jadhagam team. The team may open a draft jadhagam (including its photographs and charts) only to help you complete it, and every such view is logged.
  • With other members through community directories (when they launch) — only the details you choose to make visible.
  • With our technology providers, who process data on our instructions (section 6).
  • Where the law requires it — a court order, or a lawful request from a government or law-enforcement agency.

6. Technology providers and where data is stored

The platform runs on servers and managed services we contract for hosting, database, file storage, email delivery and push notifications. They process data only on our instructions and under their own security commitments. Some providers may store or process data on servers outside India; we choose providers with appropriate safeguards and remain responsible for your data.

The websites use a single first-party sign-in cookie (tnv_session) and a language preference cookie. The registration form keeps an unsent draft in your own browser's storage so you do not lose your work; it is removed when you submit. On a shared computer, sign out when you are done.

7. How long we keep it

  • eCensus and account records — for as long as you remain a member, and for a reasonable period afterwards for the community's historical records, unless you ask us to delete them.
  • Jadhagam profiles — for the validity period of the profile, until you withdraw it, or until the alliance is settled. This includes remarriage details and any awaiting-divorce declaration.
  • Marital status documents — deleted as soon as the Jadhagam team has made its decision, and no later than 30 days after upload. We keep only a "verified" mark: the type of document, the date it was verified and who verified it.
  • Consent and audit records — kept as long as the law requires us to be able to show that consent was obtained.
  • Event, gallery and news content — retained until removed by an administrator or on request.

When data is no longer needed and no law requires us to keep it, we delete or anonymise it.

8. Your rights

Under the DPDP Act, 2023, you have the right to:

  • Access — see a summary of the personal data we hold about you and how it is processed. Most of it is visible on your account page.
  • Correction and completion — correct or update inaccurate or incomplete data. You can edit most details yourself from your account page; changes to identity details of an approved member may be re-checked by your district office bearers.
  • Erasure — have your data deleted where it is no longer needed and no law requires us to keep it. Use Delete my data on your account page.
  • Withdraw consent — at any time, as easily as it was given.
  • Grievance redressal — raise a complaint with us and receive a response.
  • Nominate — name another person to exercise these rights on your behalf in the event of your death or incapacity.

Requests made from the account page are recorded and handled by an administrator; you can also write to [email protected]. We respond within a reasonable period, ordinarily within 30 days.

9. Children and young members

We do not knowingly register anyone under 18 without verifiable consent from a parent or lawful guardian. Jadhagam profiles must not be submitted for anyone below the legal age of marriage in India — 21 for men and 18 for women. We do not use children's data for tracking, behavioural monitoring or advertising of any kind. If you believe a child's data has been submitted without proper consent, write to us and we will remove it.

10. Security

We use encrypted connections (HTTPS), one-way hashed passwords, rate limits and account lock-outs against guessing, and role- and district-scoped access so that data is visible only to office bearers whose role requires it. Administrative actions are audit-logged.

No system is completely secure, and you share information with us on that understanding. If a breach affecting your personal data occurs, we will notify you and the Data Protection Board of India as required by law.

Keep your password to yourself and do not reuse it elsewhere. You are responsible for activity carried out through your account.

11. Links to other sites

The sites link out to WhatsApp, app stores, social media platforms and other external services. Once you follow such a link, you are on someone else's website, governed by their privacy policy, not ours.

12. Changes to this policy

We may revise this policy as the platform or the law changes. Each revision is published with a new version number and effective date. Where a change materially affects how we use your data, we will ask you to review and accept the new version when you next sign in.

13. Grievances and contact

If you have a question, a request under section 8, or a complaint about how your data has been handled, write to our grievance channel. Please describe the issue clearly and include your eCensus ID or the email address registered with us so we can identify your records.

If you are not satisfied with our response, you may escalate the matter to the Data Protection Board of India.
